Role Purpose/Description:

The Academic and Support Services Officer (ASSO) provides administrative support to the Academic Dean and faculty, ensuring the smooth and professional operation of Talua’s academic programs. This includes maintaining accurate student records, assisting with assessment processes, and supporting communication and scheduling. The officer also assists in general academic services to staff and students, helping ensure quality and compliance in all educational activities. The ASSO reports to the Academic Dean.

Role Responsibilities:

  1. Academic Records and Registry Support
    • Maintain accurate academic records of all students
    • Maintain updated transcripts and final grades for all components.
    • Support new student applications, enrolments, and graduation processes.
    • File and manage Special Circumstances Forms and student records.
  2. Assessment and Moderation
    • Assist and support lecturers in recording marks and returning assessments on time.
    • Support the implementation of course assessment plans.
    • Assist lecturers with course outline templates and compliance with assessment policies.
  3. Academic Scheduling and Administration
    • Assist in scheduling courses and lecturer assignments.
    • Assist in preparing class timetables and calendars.
    • Take minutes in faculty meetings and other academic meetings as delegated.
    • Provide printing and academic resource support for faculty and the Executive Team.
  4. Quality Assurance and Monitoring
    • Assist in quality assurance activities such as internal audits, course evaluations, and student surveys.
    • Help prepare documentation for accreditation and external reviews.
  5. Communication and Learning Support
    • Assist in managing student communication about academic matters.
    • Support online platforms with enrolment and content uploads where needed.
    • Ensure smooth use of academic digital platforms (e.g. Google Classroom, Moodle, online forms, spreadsheets).
    • Support lecturers and students in using ICT tools for teaching, learning, and assessment.
    • Troubleshoot basic digital problems and liaise with consultants as needed.
    • Maintain up-to-date records using cloud-based and offline systems.

Qualifications & Experience:

-> Qualification at VQAF Level 3 in Administration or similar (desired).
-> 2-3 years experience in administrative role (desired)
-> Demonstrated proficiency in digital systems (e.g. spreadsheets, learning platforms, shared drives, communication tools).
-> Experience in PSET administration (desired).

    Other skills and/or personal attributes:

    • Reliable, trustworthy, and discreet — especially with sensitive student data.
    • Digitally confident, organised, and detail-oriented.
    • Flexibile and patient
    • Able to work in an interdenominational work environment.
    • Good written and verbal communication skills in English and Bislama.
    • Initiative and team player mentality
    • Committed Christian character and lifestyle, aligned with Talua’s mission and values

    Contract details:

    This is for a 1-3 Year appointment, negiotiated with the successful applicant.

    Salary package follows Talua Board’s Merit-Based Classification Salary scale, and will reflect the qualifications and experience of the successful applicant. The yearly salary will be between 625,000vt & 1,000,000vt (including VNPF & Severance) depending on the qualifications and experience of the successful applicant.

    Additionally, the successful applicant will be provided housing on main campus (Navota Farm, South Santo), which includes utilities and Wi-Fi.
